Frequently asked questions

Answers to what we are asked most.

About our services, our pricing, and the Luxembourg rules that decide whether an expense claim or a business trip is compliant.

The Luxembourg framework

What mileage rate applies in Luxembourg?
The Administration des contributions directes (the direct tax authority) applies a rate of €0.30 per kilometre, set by the Grand-Ducal regulation of 19 June 2015, for the use of a personal vehicle on a business trip. Anything reimbursed above that is reclassified as a benefit in kind: taxable and subject to social contributions. It is one of the first things we check on every file.
How many days can a cross-border employee work outside Luxembourg?
Two independent thresholds apply. For tax, a cross-border employee has 34 days a year outside Luxembourg before their entire salary becomes taxable in their country of residence — retroactively, from day one, with half a day counting as a full day. For social security, affiliation moves away from the CCSS beyond 49.9% of annual working time spent abroad. It is possible to comply with one and breach the other.
Do assignment days count towards the 34-day threshold?
Yes, and this is what most companies miss. The counter does not only track remote work: every day on assignment, every training course abroad and every client visit feeds it too. A travelling salesperson can therefore cross the threshold without ever having worked from home.
Can VAT paid in another EU country be recovered?
Yes, but not through your Luxembourg return. VAT paid in another member state follows a separate refund procedure, to be filed by 30 September of the year following the expense. After that deadline it is lost for good. It is an area where we regularly find amounts that were never claimed.
How high can a flat-rate allowance be?
Flat-rate allowances paid to an employee may not exceed what a Luxembourg civil servant would receive in the same situation. For a trip abroad, the ceiling depends on the destination country. Above it, the difference is reclassified as salary, with the corresponding charges and tax.

Our services

What does an administrative assistant cost in Luxembourg?
The social minimum wage is €2,771.33 gross per month for a non-qualified post and €3,325.59 for a qualified one, indexed on 1 June 2026. Including employer contributions, that is roughly €3,145 and €3,775 per month — a legal minimum, before recruitment, holidays and absence cover. Our packages start at €249 per month.
How does your service differ from an accounting firm?
An accounting firm keeps your books and files your tax returns: a distinct, regulated activity. We work upstream, on the administration: day-to-day files, mail, filings, calls, diary, client and supplier relations, preparing and checking documents. We then pass those documents, organised, to your accountant — alongside them, not instead of them.
Do we need to change accounting software to work with you?
No. We adapt to the tool you already use and deliver entries ready to be booked. The only app your people use is G-Expense, included in the subscription, to photograph receipts. It requires no configuration on your side.
Are expense claims included in the business support package?
They are included from the middle tier upwards. On the entry tier they are available as an add-on. If you only want to delegate that area, the standalone expense claim service exists separately, from €89 per month per active claimant.
Do you work with companies established outside Luxembourg?
Not for now: we work with companies established in Luxembourg. Where their people travel, however, has no geographic limit — we handle spending incurred abroad, foreign VAT and per diem capped by destination country.

Pricing and commitment

Why is the full price list not published?
Because a fair package depends on your actual volume: documents handled, people involved, calls taken. Publishing a fixed grid would either overcharge small files or undercharge large ones. We publish entry prices by profile and set the exact fee after the free audit, on your own figures.
Is the audit really free?
Yes, with no strings. You send us one month of your administration; we return a costed report: time actually consumed, processing errors, compliance gaps, savings available and a proposed package. The document is yours, including if you decide not to proceed.
Is there a minimum commitment period?
No. Packages are monthly with no minimum term. We would rather be chosen each month than retained by a contract — it is also what keeps us useful.
What happens to my documents if I stop?
They are returned to you. Your documents and data remain yours, exportable at any time during the contract, and are handed back in a usable format at the end of the mandate. The precise arrangements are set out in our terms of service.
How quickly do you reply?
Within 24 business hours for any request sent through the site. During a mandate you have a single point of contact — the person who actually handles your files, not a call centre.
